Taking a booking over the phone

Open Bookings and press Add booking. Pick the service, the day and the time, then type the customer's name, mobile and rego.

Tick "Send the customer a confirmation" and they get an email (and a text, if texts are on) with the details.

Cancelling a booking

Open the booking and press Cancel. Tick the box to let the customer know, and they get an email and a text saying it's cancelled.

Cancelled bookings stay under Cancelled, so you can always look them up.

Moving a booking

Open the booking and press Move, then pick the new day and time (or a different service).

The customer is told about the change if you tick the box. Full times can't be picked, so nothing gets double-booked.

Printing job cards

The desk app prints the job card for each new booking automatically on the counter PC.

On the web, open the booking and press Print card – it opens a page sized for A4 that you can print or save as a PDF.

What customers receive and when

Straight away: a confirmation by email, and by text if texts are on.

The day before: a reminder at your reminder time (set it in Settings) – by text, or by email when texts are off.

If you move or cancel the booking and tick the box: a message telling them.

Closing for a day or a holiday

Open Availability and press Add closed days. Pick one day, or a first and last day for a longer break (up to 60 days at a time).

Add public holidays for your state adds every public holiday for the next year in one go. Nobody can book online on a closed day.

Forgotten password

On the sign-in page, press "Forgotten your password?" and type your email. We email you a link to choose a new one – it works once and lasts 24 hours.

Check your junk folder if it doesn't arrive in a few minutes.

The desk app says it's not connected

In Bookanic on the web, open Install, then Bookanic desk app, then Show connect code, and copy the code.

In the desk app, open Settings, paste the code and save. If the code was replaced, the old one stops working – paste the new one.

"Windows protected your PC"

Windows shows this for new programs it hasn't seen much yet. Click More info, then Run anyway, and the installer carries on.

We're getting the app signed so this message goes away.

Putting the booking page on your website

Open Install in Bookanic for your booking link and the one line of code for your website.

Wix: add an Embed, choose HTML iframe, paste the code and set the box to about 1,100 px tall – or add a button that links to your booking page.

Squarespace: add a Code block (it needs the Core plan or higher) – otherwise use a button that links to your booking page.

WordPress: add a Custom HTML block and paste the code.

Confirming your email

When you sign up we email you a link to confirm your address. Until you press it, your booking page isn't open to customers and no emails or texts go to them – that stops anyone using a workshop's name without its say-so.

If the email hasn't arrived, check your junk folder, or press Send it again at the top of Bookanic. If you mistyped your email when signing up, press "Wrong address? Change it" there and type the right one.
