Who we are

Bookanic is an online booking system for automotive workshops, run by Matthew Nicholas Mullany trading as Bookanic (ABN 59 506 078 591) in Australia. In this policy "we" and "us" means Matthew Nicholas Mullany trading as Bookanic.

We follow the Australian Privacy Principles in the Privacy Act 1988.

Our role

Workshops use Bookanic to take bookings, keep their customers' details and send them messages. When you book with a workshop, that workshop decides what it collects and what it does with it, and we hold your details for the workshop that uses Bookanic.

We also hold details about the workshops themselves and the people who sign in to Bookanic for them.

What we collect

About workshop staff: name, email address, sign-in details (your password is stored scrambled so nobody can read it) and when you sign in.

About workshops that sign up: workshop name, phone number and address.

About a workshop's customers: name, phone number, email address, car registration, make and model, any notes, the cars on record, estimates and what was approved, and the texts and emails sent to them.

Like most websites, our server logs record the internet (IP) address of each visit, to keep the service safe.

Why we collect it

To run Bookanic: to take and manage bookings, send booking confirmations, reminders and estimates, let workshop staff sign in, support workshops when they ask for help, keep the service secure and stop misuse, and bill workshops for the service. We don't sell personal information and we don't use a workshop's customer details for our own marketing.

Who we share it with

We use a few trusted services to run Bookanic:

Render Inc. hosts our servers and database, in Singapore.

Resend sends our emails, from the USA.

ClickSend sends text messages, in Australia, when a workshop switches texts on with its own ClickSend account.

We only share what each service needs to do its job. We may also share information when the law requires it.

Overseas disclosure

Because our hosting is in Singapore and our email service is in the USA, personal information is stored and handled outside Australia. We choose providers that protect it with strong security, and we stay responsible for it under Australian privacy law.

Security

Everything is sent over an encrypted connection. Passwords and sign-in sessions are stored scrambled. The database is backed up every night. Each workshop can only ever see its own customers.

Support access is logged

When a workshop asks for help, we may look at its Bookanic account to fix the problem. Every time we do, it's recorded.

How long we keep it

We keep a workshop's information while it uses Bookanic, plus 90 days after it leaves. Then it is deleted.

Nightly backups roll off after 14 days and disk snapshots after 7 days.

The wording of texts and emails older than 24 months is removed from the message logs.

A workshop can delete one customer's details at any time from its Customers screen.

Seeing or correcting your information

If you're a customer of a workshop, ask that workshop first - it can see and change what it holds about you. You can also ask us, and we'll help or pass your request to the workshop.

Workshops can see and change their own details in Bookanic, and download all their data from Settings.

Complaints

If you're unhappy with how we've handled your information, tell us first and we'll try to fix it. Email us at support@bookanic.com.au.

If you're still not happy, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or on 1300 363 992.

Changes to this policy

We'll update this page when the way we handle information changes, and tell workshops about any important change.
